A project is a folder for payments. If three contractors are working on the same launch, putting their payments under one project means you can look back later and see what the launch cost, rather than picking rows out of a long list.
They’re optional. If you pay a handful of people for unrelated work, you may never need one.
Creating a project
Open Projects from the sidebar and click New Project.
Once it exists, you choose it while creating a payment. That’s the moment the grouping happens, so it’s worth creating the project before you start paying people for that work.
The three states
| Status | What it means |
|---|---|
| Active | Work is under way. This is where a new project starts. |
| Completed | The work is done, but you still want the project in view. |
| Archived | Out of your normal list. Nothing is deleted. |
You move between them from the row Actions menu: Mark as Completed, Set as Active, Archive and Unarchive. The same menu has Edit to rename a project, Project Details to open it, and Add New Payment to start a payment already attached to it.
Good to know
- Filter the list by status to see only what’s running, which is what the Status filter defaults to showing.
- Projects group your side of the picture. Your contractors see the payment and its description, not how you’ve filed it.
- For what to do with the payments themselves once they’re running, see how to manage contractor payments.
Frequently asked questions
Do I have to use projects?
No. They're optional. They pay off when you're paying several contractors for the same piece of work and want to see that spending together later.
What's the difference between Completed and Archived?
Completed means the work is finished but you still want the project in view. Archived takes it out of your normal list entirely. Neither deletes anything.
Can I add a payment to a project after creating it?
The project is chosen while the payment is being created, so set the project up first if you want the payment grouped under it.
Do my contractors see the project?
The project is how you organize your side. Contractors see the payment and its description.
